Privacy Policy
1. Data we collect
We collect only what is necessary to run the service:
- Account information — your name, mobile number, and email address, collected when you register.
- Property and unit details — addresses, floor/unit configurations, rent amounts, and lease terms you enter.
- Tenant records — tenant names, contact details, and identity documents (including Aadhaar card images) that you upload for KYC purposes.
- Financial records — rent history, payment proofs, and utility bill images that you add to the app.
- Device token — a Firebase Cloud Messaging (FCM) token used solely to deliver push notifications to your device.
2. How we use your data
- To provide and operate the Landlord service — storing and displaying your property, tenancy, and rent records.
- To send you in-app and push notifications about rent due dates, overdue payments, and agreement expirations.
- To maintain audit logs of changes made within your account for your own security and accountability.
- To process subscription payments and manage your billing when a paid plan is activated.
3. Sensitive documents and encryption
Aadhaar images, rental agreements, and other identity documents are classified as sensitive files. These are encrypted using AES-256-GCM before being stored. The encryption key (KEK) never touches the database — it lives only in our secured server environment. General files (utility bills, payment proofs) are stored without encryption but remain private to your account.
4. Third-party services
We currently use, or will use, the following third-party services:
- Google Firebase (FCM) — for push notifications. Only your device token is transmitted; no personal data is sent to Firebase.
- Payment gateway — when subscription billing is activated, your payment will be processed by a PCI-compliant payment gateway. We do not store card details on our servers. The specific provider will be named here before billing goes live.
We do not sell, rent, or trade your personal data to any third party for marketing purposes.
5. Data retention
Your data is retained for as long as your account is active. If you close your account, we will delete your personal data and uploaded files within 30 days, except where retention is required by applicable law.
6. Your rights
Under the Digital Personal Data Protection Act, 2023 (DPDP Act) and the Information Technology Act, 2000, you have the right to:
- Access the personal data we hold about you.
- Correct inaccurate or incomplete data.
- Request deletion of your data ("right to erasure").
- Withdraw consent for data processing where consent is the legal basis.

7. Data security
We store all data on servers located in India. Access to the production database is restricted to the application's service account, which holds zero direct table access — all reads and writes go through audited stored procedures. Server access requires SSH key authentication. We perform regular security reviews.
8. Children's privacy
The Landlord app is intended for adults (18+) managing residential or commercial properties. We do not knowingly collect data from minors. If you believe a minor has registered, contact us and we will delete the account.
9. Changes to this policy
We may update this policy when we add new features or if legal requirements change. When we do, we will update the "Last updated" date at the top of this page and notify active users via the app. Continued use after a change constitutes acceptance of the revised policy.
